Windows Troubleshooting
Audio/Microphone Problems
No audio input detected: Go to Settings > Privacy > Microphone and ensure VoiceVibe is allowed to access your microphone
Poor recognition quality: Use a dedicated USB microphone, reduce background noise, and ensure your microphone is set as the default input device. Speak clearly at a normal pace, 6-12 inches from the microphone
Audio cutting out: Close other applications using the microphone, check sample rate settings in Sound Control Panel
VoiceVibe uses your system's default microphone. If it's picking up from the wrong device, change your system default input device:
Windows: Settings > System > Sound > Input
Restart VoiceVibe after changing the default device.
Keyboard Shortcut Not Working
Shortcut conflicts: Check for conflicts with other applications using the same key combinations. Some enterprise software or gaming overlays capture keys globally
VoiceVibe not running: Check the system tray to ensure VoiceVibe is running. Restart the application if needed
Try different keys: Go to VoiceVibe settings and configure a different keyboard shortcut
Run as administrator: Some applications require VoiceVibe to run with elevated privileges to receive keyboard input
Performance Problems
High RAM usage (Free tier): Voice Typing uses on-device AI and typically uses about 2.7 GB of RAM while the local model is loaded, or about 320 MB with the model unloaded. 8 GB total system RAM is recommended. Upgrade to Pro for cloud-based processing that uses significantly less memory
Slow processing: Close unnecessary applications, check your internet connection (for Pro modes), or restart VoiceVibe
High CPU usage: This is normal during transcription on Free tier. Pro uses cloud processing for lower CPU usage
Windows SmartScreen Warning
Windows SmartScreen can warn about new installers until enough people have downloaded and run them. This is common for newly released desktop apps, even when the installer is signed.
If you downloaded VoiceVibe from voicevibe.ai: click More info, then Run anyway.
If the file came from anywhere else: do not run it. Go back to the official download page and download a fresh copy.
Antivirus Blocking VoiceVibe
Some security software may flag VoiceVibe because of the system-level access it needs to work (keyboard shortcuts, audio recording, text insertion). This is normal for a voice productivity app.
Windows Defender: Settings > Windows Security > Virus & threat protection > Exclusions > Add the VoiceVibe installation folder
Other antivirus: Check your software's documentation for adding application exclusions
System Requirements
Supported: Windows 10 or later on modern x86/x64 processors (Intel, AMD from ~2013 onwards)
Not yet supported: Windows on ARM (Snapdragon, Qualcomm) is not currently supported
Coming soon: ARM support for Windows is on our roadmap for a future release

Common Issues
When you first use offline Voice Typing, VoiceVibe downloads a speech recognition model for on-device voice processing. This is a one-time download; the app plus local model is about 2.9 GB on disk.
What to expect:
- A progress indicator shows download status
- Download time depends on your internet speed (typically 2-10 minutes)
- The model is cached locally -- future launches load it from disk
If the download fails or stalls:
- Check your internet connection
- Ensure you have at least 5 GB of free disk space
- Restart VoiceVibe to retry
Pro users: If you only plan to use cloud voice recognition, you can skip the local model. Go to Settings > General > Voice Recognition and set the provider to "Cloud."
Voice Typing on the Free tier loads an AI model. VoiceVibe typically uses about 2.7 GB of RAM while the local model is loaded, and about 320 MB when the model is unloaded. Before loading, VoiceVibe checks your available memory:
- "Low memory" warning: You can proceed, but close other applications first for best results
- "Insufficient memory" error: You don't have enough free RAM. Close other applications and try again
Tips to reduce memory usage:
- Close browser tabs and other large applications before using VoiceVibe
- Pro tier processes voice in the cloud and uses significantly less RAM
- If Cloud with Local Fallback is selected, Voice Typing may use the local model while offline. Strict Cloud mode requires an internet connection.
Minimum recommended RAM: 8 GB total system RAM for comfortable free-tier use alongside other applications.
VoiceVibe uses your system's default microphone. If it's picking up from the wrong device, change your system default input device:
- Windows: Settings > System > Sound > Input
- macOS: System Settings > Sound > Input
- Linux: Open your desktop's Sound Settings and change the input device
Restart VoiceVibe after changing the default device.
VoiceVibe works best with clear, steady microphone input:
- Use a dedicated USB microphone or headset if possible.
- Set your system input device to the microphone you actually want VoiceVibe to use.
- Check the input meter in your OS sound settings. Your voice should register clearly without constantly hitting the maximum level.
- If audio sounds distorted or clipped, lower the input volume.
- If VoiceVibe misses words or hears very little, raise the input volume or move closer.
- Keep the microphone about 6-12 inches from your mouth and speak at a normal pace.
- Reduce background noise, keyboard noise, fans, music, and other people speaking nearby.
- Close other apps that may be using the microphone.
- After changing microphone or volume settings, restart VoiceVibe and try a short test recording.
All platforms:
- Check if VoiceVibe is already running -- look in your system tray (Windows/Linux) or menu bar (macOS) for the VoiceVibe icon
- If you can't find it but the app won't open, the previous instance may have crashed. Restart your computer, or force-quit:
- Windows: Open Task Manager (Ctrl+Shift+Esc), find VoiceVibe, End Task
- macOS: Open Activity Monitor, find VoiceVibe, Force Quit
- Linux: Run
pkill -f voicevibein a terminal
Windows:
- Check if antivirus software is blocking VoiceVibe -- add it to your exclusion list
- Try running as administrator
macOS:
- If you see "VoiceVibe is damaged and can't be opened," right-click the app and select Open, or go to System Settings > Privacy & Security and click "Open Anyway"
- Make sure VoiceVibe.app is in the Applications folder -- macOS can cause issues if run from Downloads
- After a macOS update, you may need to re-grant permissions
Linux:
- For AppImage: ensure it's executable (
chmod +x VoiceVibe*.AppImage) - Run from terminal to see error output:
./VoiceVibe*.AppImage - Check that PulseAudio (or PipeWire with PulseAudio compatibility) is running
If it keeps crashing: Check your log files and report a bug with the log attached. Logs are at:
~/.local/share/voicevibe/logs/ (Linux), ~/Library/Logs/VoiceVibe/ (macOS), or %LOCALAPPDATA%\VoiceVibe\Logs\ (Windows). After VoiceVibe processes your voice, it types the result into whichever application was focused before you started recording. If text isn't appearing:
- Make sure the target app has focus -- click into the text field where you want text before pressing your keyboard shortcut
- Check the recording indicator -- make sure VoiceVibe actually recorded and processed your audio (you should see the overlay indicator)
- macOS: Check Accessibility permissions -- VoiceVibe needs Accessibility access to type into other apps. Go to System Settings > Privacy & Security > Accessibility and make sure VoiceVibe is enabled. Restart VoiceVibe after granting this
- Full-screen games or apps that capture keyboard input may block VoiceVibe's text insertion
- Security software may block simulated keyboard/clipboard input
Linux note: Some terminal emulators use Ctrl+Shift+V for paste instead of Ctrl+V. VoiceVibe handles this automatically for common terminals, but some may not be recognised.
Workaround: If a specific app doesn't receive text, try a simple text editor (Notepad, TextEdit, gedit) to confirm VoiceVibe is working, then copy-paste from there.
VoiceVibe uses keyboard shortcuts to activate voice modes. The default is Right Ctrl for Voice Typing.
Single keys: Right Ctrl, Right Alt, Left Ctrl, Left Alt, Right Shift, Left Shift, F6-F12
Key combinations: You can also use multi-key combinations (e.g., Ctrl+Shift+V). To set a custom combination, open Settings, go to the mode you want to configure, click the shortcut button, and press your desired key combination.
If a shortcut doesn't work:
- Another application may be using the same key -- try a different one
- macOS: Grant Accessibility permissions in System Settings > Privacy & Security > Accessibility
- Linux: Your desktop environment may reserve certain keys -- check your DE's keyboard shortcut settings
- Windows: Some enterprise software or gaming overlays capture keys globally

Pro features require an internet connection. If VoiceVibe shows "Offline" or isn't connecting:
- Check your internet connection -- try loading a website in your browser
- Corporate firewalls -- some corporate networks block persistent connections. Try a personal network
- VPN -- some VPNs interfere with persistent connections. Try disconnecting your VPN temporarily
- Wait for automatic reconnection -- VoiceVibe retries automatically. If it doesn't reconnect within 30 seconds, restart the app
While offline: Voice Typing can work when Local Model or Cloud with Local Fallback is selected. Strict Cloud mode and other Pro modes require an internet connection.
Paid usage allowances reset monthly on both monthly and annual subscriptions. If you've reached your limit:
- Voice Typing can work offline when Local Model or Cloud with Local Fallback is selected
- Other Pro modes are paused until your next monthly usage reset
- Check your usage in Settings > Status tab
Need more capacity? Upgrade to Pro Max for 4x the usage limits. If you believe the limit was reached in error, active Pro and Pro Max users can submit a priority support request from the account dashboard.
- "Registration failed": Ensure your audio sample is 5-10 seconds of clear speech with minimal background noise
- "Too many attempts": Wait a few minutes before trying again. Voice clone registration is limited to 3 attempts per 5 minutes
- "Maximum clones reached": You can have up to 3 custom voices. Delete an existing clone to create a new one
- Clone sounds wrong: Record in a quiet environment, speak naturally, use a good microphone. Make sure your microphone input volume is set to an appropriate level -- too quiet or too loud both reduce clone quality
- Clone disappeared: Voice clones are stored in the cloud. Check Settings > Voices for your clone list
- Ensure you have a Pro subscription -- TTS is Pro-only
- Check your internet connection -- TTS requires cloud processing
- Check your audio output -- make sure speakers/headphones are working and volume is up
- Try a preset voice -- if using a cloned voice, switch to a preset to rule out clone issues
- If the issue persists, the TTS service may be temporarily unavailable -- wait a few minutes and try again
VoiceVibe checks for updates automatically and notifies you when a new version is available. Click the notification to download and install. You can also download the latest version manually from voicevibe.ai/download.
Your current version is shown in Settings > Status tab.
